Estimates are maintained on individual estimate projects or on batches of estimate projects. When estimate projects are processed in batches using periodic jobs, the estimate projects are selected for processing by the period code.

  • Click > > > . You can maintain estimates for individual estimate projects in the form.

  • Click > > to view the periodic features available for estimate maintenance. The periodic jobs available correspond to the features available from the form.

The , , , , , , and buttons on the form open dialog boxes that reflect a typical life cycle of an estimate. See the following table for information about the individual fields in these dialog boxes. Some of these options are available in several dialog boxes.

The period code determines the frequency of the estimate posting. A period code is defined for each estimate project.

  • When this option is selected, estimates are only created if estimates are posted in the previous period or if the estimate is the first estimate to be created (first estimate).

  • If the option is not selected, estimates will be created whether or estimates were posted in the previous period.

By using the cost to complete methods, you can define how you want to estimate the remaining work on the project.

– The completion percentage is calculated automatically based on the cost lines that, according to the cost template, should be included in the calculation.

– The completion percentage is set to equal the completion percentage of the last estimate. When the estimate has been created, you can change the field in the form.

– This is a combination of the and the methods. This option is set automatically or manually, depending on the default value on the cost template.

Select a forecast model for the estimate.

Forecast models apply to the and cost to complete methods.

If you want to copy from a forecast model, select a forecast model.

When this is selected, hour, expense, on-account, and item transactions posted after the estimate was created will be included in the estimate calculation. The estimate date is also registered for each of these transactions.

Select this option to delete forecast transactions when the estimate is deleted or reversed.

The date when transactions will be posted to the general ledger.

Select this check box to set the project stage for all projects attached to the current estimate project to .

An estimate list can be created and displayed on the screen. The list contains the status of the current function. Optionally, any warnings about the estimate can be printed in the report.

Options in the estimate list:

  • – No report is created and nothing is displayed.

  • – A report is created. However, no warnings are included.

  • – A report is created and warnings are displayed.

  • – A report is created, but only warnings are displayed.

These situations will cause warnings on the estimate list:

  • A completion percentage exceeds 100%.

  • A completion percentage is below 0%.

  • A negative amount appears in the quantity/cost to complete estimate column.

  • An estimate has been created that has no corresponding contract amount.

  • An estimate has been created that has no cost estimate attached.

Select this option to show a message when the job has been run with information about which estimate projects have been processed.
