Use this form to allow an individual employee or administrator to enter the hours to be registered for a specific period of time.

Enter identification information and the number of hours consumed. You can also see an overview of the lines created on the current journal.

Fields

Field

Description

Hour registration date. If the field is left blank, the current date is automatically entered.

The project number of the journal registration line.

Filter the list of projects to be viewed.

Add an asterisk (*) to the end of a number to view a list of specific projects. For example, enter 21*to view a list of all projects that have 21 as the two first digits.

Tip Tip

Select the check box in the form to enable the filtering feature.


Identification of project activity.

Select the category of the transaction. Only categories of the transaction type are available. For example, if the journal line is of type , only categories of type hour are presented.

Use employee ID to trace the employee behind a fee transaction. In define whether this option is mandatory, optional, or prohibited.

Enter a transaction text in this field to describe the transaction. Alternatively, if you enter a predefined search name from the text, a description of the transaction is automatically entered into the field.

You can use notes as an alternative to transaction text.

Transaction texts that are entered in this field are limited to 30 characters. To enter more text, you can apply the feature to attach a note to the transaction line.

To enable the feature, on the menu, click and then select the check box.

A note that is attached to a transaction line can be viewed on the hour registration, on an invoice proposal, and on the invoice.

Enter the quantity of hours to be registered on the current transaction line.

Select the line property that is attached to the journal line. Click Line property (form).

Shows the ledger voucher number for the current line. The voucher is associated with the line's period and is updated when a new period is selected.

Example

A journal line has the voucher number 012456_1112 for week 39. When you update the transaction with a project date that is in week 40, the voucher number will be changed to 012456_1113.

Enter the hour registration date. If the field is left blank, the current date is automatically entered.

Enter the cost price per hour for the employee. Default cost prices are derived from the cost price that is set up for the current employee or cost prices that are set up for the company in general.

Cost price - Hour (form).

Currency of the sales price. By default the currency is derived from the invoice project to which the project is attached.

Enter the sales price per hour for the transaction. Entering a sales price here overwrites any default sales price for the current employee.

The default sales price is derived from the sales price that was set up for either the current employee or the company in general.

Sales prices are set up in the form. For more information about how sales prices are derived, see About sales price setup.

Tip Tip

The sales price only applies to time and material projects.


Select a sales tax group.

A default sales tax group can be derived from , , or , depending on the setup of the in .

Select an item tax group.

Start date of the period. If the employee specified on the line has a period attached, then the start date for the current period is entered here.

As an alternative to entering a quantity of hours in the field, you can enter the start times and the end times for an hour journal line. Enter the start time in this field. When you specify a value in the and , the quantity of hours is calculated.

The and fields are turned on for all company accounts by selecting the in . Write access to the fields is turned on per journal name by selecting in . When write access to the and fields is turned on, the contents of the field cannot be edited.

Select one of the three predefined dimensions in Microsoft Dynamics AX. Dimensions can be used in many locations throughout the system as sorting criteria.

The current definition of the three dimensions— , , and —can be changed in the database. You can also increase or reduce the number of dimensions. However, in order to guarantee uniform tracking functionality, you must decide how dimensions will be used before you start working with them.

Example

You can define your dimensions as follows:

  • Department: Sales department

  • Cost center: Retail sales group

  • Purpose: Sales representative number

With this setup, you can analyze the sales progress of individual sales representatives within the company.
