Use this form to post vendor invoices that are approved to appropriate ledger accounts. The actual balance in the journal is reflected in the and fields.

The invoices that you can put into this journal originate in the journal.

Example

An employee has entered and posted some vendor invoices in the . The amounts are automatically posted to the and ledger accounts that are defined in . The employee gives the physical invoices to the person whose code is entered in the field.

The employee whose name is displayed in the field approves the physical invoices with a stamp or a signature and forwards them to the accounting department.

Note Note

If approval is delayed, a report can be printed to remind the approver about the invoices that are awaiting approval.


An accounting employee puts the invoices into the , adds appropriate information, and posts the invoices. The amounts are cleared from the temporary ledger accounts, posted to the appropriate ledger accounts, and the vendor invoices can then be settled.

Post the approval journal.

If you want vouchers without errors to be posted and vouchers with errors to be transferred to a new journal, click .

Otherwise, click . If an error exists, no vouchers are posted, and you receive an error message.

Validate the journal.

Select or . The function that you select is carried out on the selected lines on the tab.

The validation checks whether the journal lines that are selected are ready for posting.

Transfer vouchers to the .

Remove vouchers and return them to the .

Report the journal as ready, or reject the journal.

View (and edit before posting if necessary) the expected sales tax transaction that is related to the journal line.

The date of posting that is used in ledger for the transaction. This date is often the date of invoice from the vendor.

Voucher number for the transaction.

The account number of the vendor.

Invoice number that the transaction is attached to.

If selected, the invoice document has been saved but not posted.

Employee who approved the transaction.

Transaction text for the current transaction.

Currency code for the amount.

Total amount in currency.

The posting date of the journal line. You can change the date by clicking , then .

The voucher number for the journal line. You can change the voucher number by clicking , then .

Specify the account type as:

Enter or view the debit amount in the given currency.

View the currency for the line.

View or select a sales tax group for the transaction.

Calculated sales tax amount for the line in the approval journal.

Select this check box to mark the transaction as a transfer.

The abbreviation for another set of company accounts. This abbreviation also serves as an extension. The transaction between accounts is posted in for both sets of company accounts.

Enter the sales tax code for the transaction. It must be specified if the posting type for the account is sales tax.

If this check box is selected, the sales tax direction for the current journal line within the current voucher number is controlled by the setup of the field, which is in the form for the actual ledger account in the field on the journal line.

Enter or view the abbreviation for the set of company accounts in which the current transaction is to be offset.

Select the as in .

Enter or view the account number for the current .

If a text other than the one entered in the transaction text field should be used, enter it here.

This check box is selected if the currency code is included in triangulation. It is defaulted from the information on the selected currency, but it can be changed.

Currency exchange rate that applies to the transaction. The currency rate that is expressed here is the rate that is set up in the form, but it is possible to change this rate if necessary.

The exchange rate is expressed as the number of units of the foreign (non-company) currency that is indicated in the field on the tab in the form.

Basis for the calculation of the cross rate.

Indicate the dimension value that the transaction is associated with. The value is first defaulted from the fields in the form, and then it is defaulted from the dimensions fields in , , according to the account type. You can set up validation on dimensions in the form.

Select the tax exempt number for the transaction. The tax exempt numbers are created in > > > .

Specify the purchase orders that pertain to this invoice.

This field is used only for information. More than one purchase order can be set in the field.


Enter or view the code for the cash discount for subsequent approval.

Latest payment date to qualify for a cash discount, which is calculated based on the field. It can be changed manually.

If a cash discount hierarchy is used, the first date of cash discount is shown.


Cash discount amount that is included in the payment.

When payment is made before the deadline, the specified amount is redeemed and posted automatically by the open-post system.

Number or name of the document that is the basis of the transaction.

View the document date.

The employee who approved the transaction.

Indicates whether the transaction has been approved.

View the amount to be reported on the 1099 form.
