Use this form to create, display, and update all activities (open or closed) that are attached to you or another employee. You can display activities by day, week, or month, or by a period that you define.

You can also use Microsoft Dynamics AX in combination with Microsoft Office Outlook, if your system is configured to do this. Microsoft Dynamics AX can synchronize the information that is stored on this form with tasks and appointments in Office Outlook. However, only activities of the type or can be synchronized with Office Outlook.

Filtering records

Filter

Description

Select the employee from the drop-down list for whom you want to see activities.

To display activities for all employees, delete the value in the list, and then press ENTER.

Select the status of the activities from the drop-down list that you want to view:

  • – View open and closed activities.

  • – View only those activities that are open.

  • – View only those activities that are closed.

The filter can be combined with the filter.

Select the type of activity that you want to view.

To display all activity types, select the check box.

Note Note

By default, any new activities that are created will have a type selected. If the check box is cleared, you will be prompted to select a type when you create new activities.


Select the date on which the activity is scheduled for.

View the day of the week that the activity is scheduled for.

View the week number that the activity is scheduled for.

NoteThe specific contents (fields) on this tab vary depending on the type of activity that is displayed. For example, the field is displayed for activities of the type , but not for activities of the type .

View the status of the selected activity. You can also close an activity or open a closed activity.

View Office Outlook specific details of the selected activity, such as Office Outlook categories, roles, and team tasks.

View information about other items that the selected activity is assigned to. You can also assign the activity to an item.

View the synchronization history of the selected activity.

  • - View the customer who is associated with the activity.

  • - View the vendor that is associated with the activity.

  • - View the contact person who is associated with the activity.

  • - View the purchase order that is associated with the activity.

  • - View the sales order that is associated with the activity.

  • - View the sales quotation that is associated with the activity.

Create or update the document that is attached to the activity.

Invite attendees to the activity. The button will be active for appointment activities only.

View the recurrence pattern of any appointment or task that is synchronized with Office Outlook. These patterns can only be made in Office Outlook but viewed in Microsoft Dynamics AX.

Change the employee who is primarily responsible for the activity.

Display the filtered activities by day, week, or month, or by a period that you define. You can also undo previous display options and display all of the filtered activities.

Select the check box to indicate that the activity has been completed.

View or edit the start date of the activity.

The value in this field determines the appearance of the follow-up icon.

View or edit the end date of the activity.

Select the priority of the activity as , , or . The priorities correspond to the priorities in Office Outlook.

Enter the purpose of the activity.

If the activity is synchronized with Office Outlook, this field is synchronized with the Subjectfield in an Office Outlook task or appointment.

Select the activity category.

Select the employee who is responsible for the activity.

View the unique number that identifies the activity. This number is generated automatically from the number sequence.

Select this check box if this is the original activity appointment.

Select whether this is a recurring activity.

View the planned start date for the activity.

Select this check box if the activity is an all-day activity.

If the activity is synchronized with Office Outlook, this field is synchronized with the All day eventfield in an Office Outlook task or appointment.

Enter the date and time that the activity will start. This field applies to appointment or action activities.

If the activity is synchronized with Office Outlook, this field is synchronized with the date section of the Start Timefield in an Office Outlook task or appointment.

Enter the date and time that the activity will end. This field applies to appointment or action activities.

If the activity is synchronized with Office Outlook, this field is synchronized with the date section of the End Timefield in an Office Outlook task or appointment.

Enter any additional information that is related to the activity.

Select the responsibility code for the activity.

Enter the location of the activity.

If the activity is synchronized with Office Outlook, this field is synchronized with the Locationfield in an Office Outlook task or appointment.

Select the activity plan.

The activity plan is set up and maintained in the form.

If the activity is synchronized with Office Outlook, this field is transferred as text in the Office Outlook body text field in an Office Outlook task or appointment.

Select this check box to set up a reminder from Office Outlook.

If the activity is synchronized with Office Outlook, this check box is synchronized with the Reminderfield in an Office Outlook task or appointment.

Set the start time for the Office Outlook reminder. The reminder is expressed in the number of minutes before the appointment start time.

If the activity is synchronized with Office Outlook, this field is synchronized with the Reminder Timefield in an Office Outlook task or appointment.

Select a category for display on the Office Outlook calendar.

Select the activity phase.

Activity phases are set up and maintained in the form.

If the activity is synchronized with Office Outlook, this field is transferred as text in the body text field in an Office Outlook task or appointment.

Select the activity type.

Activity types are set up and maintained in the form.

Select the identification of the employee who closed the activity.

View the date on which the activity was closed.

Select if this activity has been or will be dispatched.

Enter billing information.

Enter how much of the activity has been completed.

Enter the mileage associated with the activity.

Enter an associated category from Office Outlook.

Enter the role of the employee responsible for this activity.

Select the level of sensitivity for the activity.

Select this check box if the task is a team task.

Enter the actual number of work hours that were spent on the task.

Enter the total number of work hours that were spent on the task.

Select this check box if the sender wants a response to the meeting request.

Enter the names of any resources needed for the activity.

Select this check box if the activity is owned by the parent listed in the next field.

Select the entity type for the activity parent.

View the unique number that identifies the sales order connected with the activity parent.

Select this check box to keep the activity synchronized with Office Outlook.

View the identification of the application that is generating the activity, either Microsoft Dynamics AX synchronizing to Office Outlook or Office Outlook synchronizing to Microsoft Dynamics AX.

View the date on which the activity was last updated.

View the number of the activity.

View the job attached to the activity and project.

View a description of the activity.

View the category for the activity.

Select this check box to always use the selected category with this activity.

View the cost transaction amounts for the project.
