You can set up and save a list of purchase officials, including their names, positions, and titles.

  1. Click Basic> Setup> Contacts> Officialsto open the Officialsform.

  2. Click the Purchase orderstab and select the Invoicecheck box to print the Invoicereport with the names of the purchase officials.

  3. Press CTRL+N to enter the details of the supplier.

  4. In the Account codefield, select the account code All.

    Note Note

    The options are Allwhere the account code is applicable to all accounts or Recordwhere the account code is account related.


  5. In the Positionfield, select the position of the contact as Supplier.

  6. In the Namefield, select the name of the purchasing employee.

  7. In the Job Titlefield, review the title of the selected employee and modify it if necessary.

  8. Press CTRL+N and repeat steps 4 through 7 to enter the details for the taker.

    Note Note

    In the Positionfield, select the position of the contact as Taker.


  9. Press CTRL+N and repeat steps 4 through 7 to enter the details for the acceptor.

    Note Note

    In the Positionfield, select the position of the contact as Acceptor.


  10. Press CTRL+N and repeat steps 4 through 7 to enter the details for the director.

    Note Note

    In the Positionfield, select the position of the contact as Director.


  11. Press CTRL+N and repeat steps 4 through 7 to enter the details for the chief accountant.

    Note Note

    In the Positionfield, select the position of the contact as Chief accountant.


  12. Select the Invoice - Credit-notecheck box, to print the Invoice - Credit notereport with the names of the purchase officials.

  13. Repeat steps 3 through 11 to print the names of the purchase officials in the Invoice - Credit notereport

  14. Press CTRL+S or close the form.
