Access e-mail setup forms and tables

In general, since e-mails and the forms and tables that support them often contain sensitive data, access to these forms and tables should be restricted.

Only administrators should have access to the following:

  • Setup of e-mail parameters in the > > form.

  • Setup of the retry schedule in the > > > form.

  • Monitoring of outgoing e-mail messages in the > > > form.

Specify users' e-mail accounts

To avoid situations where e-mail messages processed by the e-mail batch are directed to e-mail accounts other than secure company accounts, we recommend that only administrators have access to the field in the form where users' e-mail accounts can be specified. (The form is located under Microsoft Dynamics AXmenu > Tools> ).

Access computers running Application Object Server (AOS)

Access to the computer running the AOS must be restricted properly to avoid tampering with the system date, which causes corruption of the retry schedule.

Limit E-mail attachment size

A system-wide size limit must be specified for e-mail attachments. If no limit is defined, attachments of any size are accepted, and any huge file passed to the SMTP can slow the system. This could cause denial of service to other users.

Set the e-mail attachment limit

  1. Click > > .

  2. Enter a size limit under in the field.

Set the E-mail attachment location

You must specify a specific system location for e-mail attachments and embedded e-mail data. Attachments from other locations than the one which is specified are restricted.

Note Note

The location which is specified should not be on the client computer. It should always be on the server or, alternately, on a share.

Specify location for embedded data and attached files

  1. Click > > .

  2. Enter a path in the field.
