Use this form to create items that can be loaned to people in the network. Loan items can include, for example, cell phones, company cars, computer equipment, uniforms, cameras, and books. The loan item describes what is being loaned, who is responsible for the item and, if relevant, the number of days the item may be on loan.

Loan items must be set up as individual items, since an item can only be loaned to one person at a time. You cannot create pools of items, such as keys, access cards or uniforms, and repeat loans on a single item code. Therefore, each key or access card must be set up as an individual item.

Tip Tip

You can use the item code or serial number to identify the item. That makes managing items and item searches easier, and using the serial number also comes in handy if the item is stolen. For this to function properly, however, each item, even if it is identical to 20 other items, should be assigned a different code or serial number to be tracked more easily.


Here are a few examples:

  • Cell phones can be set up with the number as a code, loan type Cell phone.

  • Automobiles can be set up with the license place as a code, loan type Automobile.

  • Keys can be set up with the key number as a code, loan type Key.

Tip Tip

You cannot delete an item that is on loan. If you want to delete a loaned item that has been lost or misplaced, record the item as returned and then either delete it or add a comment to its description.

Enter the number of days that may pass after the return date before a reminder is issued for the item's return.

Items that have exceeded their return date, but not their grace period, are not included in the overdue loan alarm list.


Enter the number of days the item can be on loan. When an item is loaned, the expected return date is calculated as the current date plus this number; however, you can change the return date.

If you do not enter a value the item's loan period is unlimited.


Select the employee that is responsible for the item. For example, this might be someone responsible for maintaining the item.

Specify tax information related to the item.

Enter the serial number, or other identification number, for the loan item.

This might be, for example, access card numbers, key numbers, or the vehicle identification number of a company car.
