Navigating the form

The following tables provide descriptions for the controls in this form.

Filtering records

Filter the contact persons (contacts) in the form by selecting the appropriate filter fields.

Select this check box to display all contacts.

Enter the contact's name the way that it is entered in Microsoft Dynamics AX.

Select the name of the employee who you want to use to filter the contacts.

If you open the form from the main menu, the filter field displays the employee's name.

View or edit the business contacts for whom you are responsible.

NoteWhen the check box is selected, Microsoft Dynamics AX displays all contacts.

View or edit the information for a specific contact.

You can also enter the best times to contact the contact.

Enter additional information about the active contact.

You can also add your own notes and select whether the contact is to receive direct mail.

Register the business, home, or other physical address of the active contact.

Register all relevant business or home contact information about the active contact, such as telephone number, e-mail address, and fax number.

NoteYou can also enter the contact's assistant and the assistant's telephone number.

Register personal information about a contact, such as gender, marital status, hobbies, native language, and date of birth. You can also define a salutation and complimentary closing that the active contact prefers in correspondence.

Register your personal notes on the contact. Internal notes are meant for internal use only.

Open the form and display only the documents that are created by the selected contact.

Open the form to display and adjust the interests for the selected business relation.

Add contacts that will be synchronized between Microsoft Office Outlook and Microsoft Dynamics AX.

  • Open the form and display only quotations that are created by using the selected contact.

  • Open the form and display only project quotations that are created by using the selected contact.

  • Microsoft Dynamics AX displays all open orders from the form. If there are no sales orders, the form will be blank.

  • Open the form and display only the campaigns for which the employee is responsible.

  • Open the form and display only the mailings that are registered to the selected contact.

  • Open the form and display only the telemarketing initiatives for which the selected contact is responsible.

  • Open the form and display only the telephone calls that are registered to the selected contact.

  • Open the form to display the logged transactions for the selected contact.

  • View or edit a selected contact's educational background in the form.

  • View or edit a selected contact's skills in the form.

  • View or edit the selected contact's professional experience in the form.

  • View or edit a selected contact's information in the form.

  • View or edit the courses that were taken by a selected contact in the form.

  • View or edit certificates that were earned by a selected contact in the form.

  • View or edit the organization or project matrix that the contact is attached to in the form.

Note Note

If you have set up a communication type and the address is public, you will see a presence indicator next to the %1 name. Click the indicator to contact the %1 or complete other Office communicator tasks.


Enter the contact's phone number.

Select the employee who is responsible for the business relation and the business relation's contact.

Select this check box if the contact has become inactive, or is no longer involved with your company.

Click the document icon to view any documents that are attached to the contact.

View the directory identification number for the contact.

Enter the contact's official job title.

Select a value from the drop-down list that defines the contact's function in the business relation's company.

Enter the contact's profession.

Enter the department where the contact is located.

Enter the contact's office location.

Enter the contact's user name or e-mail alias.

Select this check box to indicate that the contact is inactive and is no longer a contact with the business relation.

View the directory identification number for the contact's company.

View the vendor account number of the business relation to whom the contact is attached.

If the business relation is not a vendor, the field will be blank.

View the customer account number of the business relation the contact is attached to.

If the business relation is not a customer, the field will be blank.

Specify the contact's preferred form of address.

Specify the contact's first name.

Specify the contact's middle name.

Specify the contact's last name.

Specify the contact's nickname (if any).

Enter the contact's initials.

Select the contact's suffix (if any).

Select this check box to indicate that the contact's information has been imported instead of manually created in Microsoft Dynamics AX.

Select the contact's gender.

Select the contact's native language.

Select the sensitivity of the activities that involve the contact.

Select the manager of the main contact.

Select the business relation's main contact in the company.

The main contact is usually a sales person or account manager.

Enter the start time for the contact's availability.

Enter the end time for the contact's availability.

Select the contact's perceived loyalty toward the company.

Select the contact's perceived decision-making influence.

Select the contact's perceived character.

Enter categories from Office Outlook that apply to the contact.

Select this check box if the contact is a VIP.

The VIP field can be used when you create campaign targets, mailings, and so on as a criterion for selection.

Select this check box if the contact will receive direct mail.

Write an internal note or memo about the contact.

Select this check box to share the address in the .

Select this check box if this is the primary address for the contact. The primary address is listed in the .

Select the type of mailing address for the contact.

Enter the street for the contact's business address.

Select the Zip/Postal Code for the contact's business address.

Enter the city for the contact's business address.

Select the county for the contact's business address.

Select the state for the contact's business address.

Select the country/region for the contact's business address.

View the complete business address for the contact.

Enter the contact's primary telephone number.

Enter the contact's telephone extension number.

Select this check box to use the selected e-mail address as the Office Communicator sign-in address.

Enter the contact's mobile phone number.

Enter the contact's pager number.

Enter the contact's fax number.

Enter the contact's telex number.

Enter the contact's e-mail address.

Specify the contact's mobile phone number for SMS (text messages). You can send the recipient an SMS by using your e-mail system, if your Internet service provider supports sending SMS messages by e-mail.

Enter the contact's Internet home page. This is frequently the same as the business relation's main home page, but separate departments might have separate accessible home pages.

Enter the contact's FTP site.

Enter the contact's Internet free/busy address.

Enter the name of the contact's assistant.

Enter the telephone number of the contact's assistant.

Enter the contact's home telephone number.

Enter the contact's home fax number.

Enter the contact's Internet e-mail address.

Enter the contact's instant messenger address.
