You can return intercompany items much like ordinary returns, starting with a return sales order or return purchase order. However, with intercompany items, the return order from an external customer creates an intercompany purchase order. This is turn leads to the automatic creation of an intercompany sales return order.

The steps you take to begin the return order process depend on whether the original transaction is a two-legged chain, occurring between two related companies, or a three-legged chain, when an intercompany transaction originates with a sales order for an external customer.

Two-Legged Chain Beginning with Purchase Order

  1. Click > Common Forms> .

  2. Click to see the complete form.

  3. Press CTRL+N to create a new purchase order.

  4. In the list, select the intercompany account number of the company for which the return will be processed.

  5. In the list, select , and then select the check box.

  6. Complete the rest of the form, and then click OK.

  7. Depending on the type of return, you can choose from the following next steps:

    • Process the return using the purchase order. Click > , select the corresponding purchase order, and then click OKto update the purchase order with line unit prices, discounts, and miscellaneous charges from the original issue lot.

    • Manually return the item. On the tab, use the field to manually select the items that the customer wants to return and enter a negative quantity for each.

Two-Legged Chain Beginning with Sales Order

  1. Click > Common Forms> .

  2. Press CTRL + N to open the form.

  3. In the list, select the intercompany account number of the company for which the return will be processed. Double-check that the check box is selected automatically. This is the indication that the customer is an intercompany account.

  4. Complete the rest of the form, and then click OK.

  5. Depending on type of return, you can choose from the following next steps:

    • Process the return using the sales order. Click > , select the corresponding sales order, and then click OKto update the return order with lines prices, discounts, and miscellaneous charges from the original issue lot.

    • Manually return the item. On the tab, use the field to manually select the items that the customer wants to return and enter a negative quantity for each.

    • Create a credit note. Click > and select the purchase order from which you want to create a credit note.

Three-Legged Chain Beginning with Sales Order

A three-legged chain return order is applied when Company A registers the actual return order and then creates the customer credit note, but where the actual goods are NOT returned to Company A but directly to Company B. In this case, you must manually change the delivery address on the external customer return order from the Company A address (the default) to the correct delivery address at Company B.

  1. Click > Common Forms> .

  2. Press CTRL + N to open the form.

  3. In the list, select the account number of the external customer for which the return will be processed.

  4. After completing the form, click the tab in the form and select the box. (The and boxes are selected automatically.)

  5. To copy lines from an existing sales order, click > .

    -OR-

    To manually select the items to be returned on the tab, make selections in the field and enter a negative quantity for each.

    Note Note

    For each line item, if the default vendor is another company account for which an intercompany endpoint relation is defined, and if the line disposition action is not Credit Only, then a purchase order is created for each relevant vendor, along with a corresponding intercompany sales return order.
