Use this form to enter and post basic information about vendor invoices as soon as they arrive. The actual balance in the journal is reflected in the and fields.

The invoices are not yet approved for posting to ledger cost accounts, but they are posted to the and fields that are set up in the form.

Create or view vendor invoice lines in the journal. When you post an invoice line and transfer it to the , the program selects the check box on the invoice line.

General tab

View additional information about posting, the document, sales tax, 1099 tax (if applicable), and purchase orders, for the invoice line that is selected on the tab.

Dimension tab]

Enter or view dimension values for the selected invoice line on the tab.

Enter or view information about the cash discount, if any, that is offered on the selected invoice line on the tab.

View the history of the selected invoice line on the tab.

View specific information for the selected invoice on the tab.

Description

When you post the journal lines, you transfer them to the invoice approval journal.

If you want vouchers without errors to be posted and vouchers with errors to be transferred to a new journal, click .

Otherwise, click . If an error exists, no vouchers are posted, and you receive an error message.

Select or . The function that you select is performed on the lines that are selected on the tab.

The validation checks whether the journal lines that are selected are ready for posting.

View (and edit before posting if it is necessary) the expected sales tax transaction that is related to the selected invoice line on the tab.

Report the journal as ready, or reject the journal.

Perform various functions that are related to the journal:

: Split the posting and sales tax calculation of the selected invoice line on the tab.

: Create keyboard shortcuts that can be used to enter standard transaction texts on each line.

: Delete all lines on the tab.

Make various inquiries depending on the posting status of the selected line on the tab. For example, before you post the line, click to calculate and show sales tax totals for the journal. After you post the line, click to view the resulting transactions.

Print reports that are relevant to the journal lines:

Fields

Description

View or enter the posting date. The system date (today's date) is suggested, but it can be changed. When the date on a line has been changed, this date is suggested when a new line is created.

The voucher number for the transaction. Set up the voucher series in in , , . The voucher series is attached to the journal name in the field in > > > . If the number sequence is set to and no user changes are enabled, the field is skipped.

Enter or view the account number for the current .

You can also find the account by entering the for the .

Enter or view the invoice number.

When you post directly on customers and vendors in general journals, this field must be filled in to retrieve the from the form or the tab in .

Enter text about the transaction. When you specify an offset account, the same text is used, if no other offset transaction text is specified

Enter the debit amount in the given currency.

Enter the credit amount in the given currency.

Enter or view sales tax group for the transaction. The value is defaulted from the field in the form, , and , according to account type.

The item sales tax group can be specified for each journal line. The value is defaulted from the in the form. If this field is empty, it is retrieved from the field on the tab in the form.

Note Note

If the check box in the is checked, the field is never filled in, but you can enter a value manually.


The employee who approves the transaction. By default, it is filled in with the user who logged on to the system, but it can be changed. In the field in the form, you can restrict the approval function to a specific .

The terms of payment for the current invoice.

Due date for the invoice that is calculated based on the . It can be changed manually.

Note Note

The calculation occurs only if an number is entered.


Payment identification that is used when payment is made. If a payment proposal is used, the payment ID from the invoice or credit note is suggested, but it can be changed.

Select the tax exempt number for the transaction. The tax exempt numbers are created in > > > .

Specify the purchase orders that pertain to this invoice.

Note Note

This field is used only for information, and more than one purchase order can be set in the field.


The payment method that is used on the current payment, invoice or credit note.

Specify the payment specification, if any, for the current method of payment.

When you post in a foreign currency, you must specify which currency you are using.

Priority for automatic completion of the currency field:

  • The field in the form, , according to account type

  • The field in the form, taken from the form.

  • The field in in the folder in

Note Note

In the field in the form, you can set up validation rules for the use of currency.


To select a foreign currency manually:

  • Place the cursor in the field.

  • Click the square arrow to see a list of existing currency codes and names.

  • Select a currency.

To manage currencies:

  • Click the Go to the Main Table Formto go to the form to correct, add, and edit the various currencies and exchange rates.

Enter the amount of the transaction in the relevant currency. The balance indicates the amount in the default currency.

Note Note

There must always be an exchange rate that is dated before the earliest transactions. The first rate may have a blank date. Amounts may be posted in mixed currencies in the same account. Access a form with posting balances by currency in the form.


This check box is selected if the currency code is included in triangulation. It is defaulted from the information about the selected currency, but it can be changed.

Currency exchange rate that applies to the transaction. The currency rate that is expressed here is the rate that is set up in the form, but it is possible to change this rate if it is necessary.

The exchange rate is expressed as the number of units of the foreign (non-company) currency that is indicated in the field on the tab in the form.

Secondary exchange rate.

Cross rate for the two exchange rates.

Basis for the calculation of the cross rate.

View the corrected sales tax amount.

Enter or view the code for the cash discount for subsequent approval.

Latest payment date to qualify for a cash discount, which is calculated based on the field, but it can be changed manually.

Note Note

If a cash discount hierarchy is used, the first date of cash discount is shown.


Cash discount amount that is included in the payment.

When payment is made before the deadline, the specified amount is redeemed and posted automatically by the open-post system.

Select or view the bank account of the recipient.

The field can be edited if the payment status is neither nor .

Posting profile for the transaction, defaulted from the setup for the selected account type. A posting profile must be specified for every update of, for example, a vendor, customer, or fixed assets transaction.

Enter or view the account number for the current .

Note Note

It is possible in the form to set up a default that automatically appears in this field. This is also possible in the field in the form.


If a text other than the one entered in the transaction text field should be used, enter it here.

Optionally, enter the number, or name, of the document that is the basis of the transaction.

Enter or view a date for the document, for example, for a purchase invoice, the date determines the and fields

Enter or view the amount to be reported in the 1099 form.

Select the 1099 form on which you want to print the 1099 amount.

Specify the state for the delivery.

Amount to be reported in the 1099 form in default currency.

Specify the purchase orders that pertain to this invoice.

This field is used only for information. More than one purchase order can be set in the field.


Indicate the dimension that the transaction is associated with. The value is first defaulted from the fields in the form, and then it is defaulted from the dimensions fields in the , , forms according to account type. You can set up validation on dimensions in the form.
