Microsoft Dynamics AX provides multiple ways to enter customer payment information.

Enter and settle a payment with transactions

Use this procedure if you want to enter payment and settlement information in the same form.

  1. Click > > > .

  2. Create a journal and click . For information about how to create a journal, see Create and validate a journal and journal lines.

  3. If you know the invoice, interest note, collection letter, or other transaction identifier, enter the identifier and click the lookup button in the field group. Select a document and skip to step 6.

  4. In the field group, enter information about the payment.

  5. In the field group, select the invoices or other documents to settle with the payment.

  6. Click .

  7. Repeat steps 3 through 6 for the remaining payments.

  8. Click .

  9. In the form, click to validate the payment line or lines, and then click > .

For a single invoice

Use this procedure if you know which invoice number the payment is for.

  1. Click > > > .

  2. Create a journal, and click to open the form for payment journal lines. For information about how to create a journal, see Create and validate a journal and journal lines.

  3. In the field, enter or select the invoice that you have received a payment for. Information about the customer is displayed automatically.

  4. Click to validate the payment line, and then click > .

For multiple invoices

Use this procedure if you know which customer account the payment is for, or if the payment is intended to settle multiple invoices.

  1. Click > > > .

  2. Create a journal, and click to open the form for payment journal lines. For information about how to create a journal, see Create and validate a journal and journal lines.

  3. In the field, enter the customer account that you have received a payment for.

  4. Click > .

  5. In the form, select the field on the line for the customer invoice that corresponds to the received payment.

  6. If the customer has sent a payment that applies to several invoices, select the field on each relevant invoice line.

    To see if the payment results in a discount for the customer for a specific invoice, place your cursor on the invoice line and click the tab. If a discount applies, it will be automatically subtracted from the original invoice amount when the payment line is created in the next step.

  7. Close the form. The payment line or lines appear in the form with the correct invoice information.

  8. Click to validate the payment line or lines, and then click > .

    Note Note

    If you cannot post an invoice and you receive an error message that mentions posting restrictions, you might be set up to post only journals that you created. For more information, see Posting restrictions (form).
