Use this form to create a sales invoice with order lines that include ledger accounts, free text descriptions, and a sales amount that you enter yourself.

You cannot enter an item number on this kind of invoice. You must enter the appropriate sales tax information.

Note Note

After you post a free text invoice, a copy is saved for your information, but you can no longer make changes to it.


The difference between a free text invoice and an ordinary invoice is that on an ordinary invoice, item numbers are specified and posted in the ledger. In the form, a ledger account for the sale is indicated on each order line, and the customer balance is posted for each customer group, unless specified otherwise.

    Note Note

    (BEL) This option is available only if the configuration key for Belgium and the configuration key are selected.


Print the free text invoice or a display invoice.

Query the totals, cash flow forecast, and invoice journal for the selected free text invoice.

Display the errors for the actual line. This button is not available if no errors were detected.

The customer account that this order is generated for.

The customer account to be invoiced for this free text invoice.

Select this check box if you do not expect to create an invoice for this customer again.

Type or select the current date.

The currency specified on the invoice.

The identification of the invoice.

The customer account that this order is generated for.

Select this check box if you do not expect to create an invoice for this customer again.

The customer account to be invoiced for this free text invoice.

The employee who received the order.

The language used on invoices and other documents for the selected customer.

The posting profile that is being processed.

Select a number sequence group identification that was set up using the form.

If this check box is selected, the transaction has been posted.

The identification of the invoice.

To put the transaction on hold until a specified date, enter that date. You still can modify the transaction, and it can be posted on or after this date.

If this field is blank, the transaction can be posted at any time.

Note Note

You can clear this field to remove the hold.


Enter or select the current date.

Enter or select the date when the invoice is due.

The last date of payment to qualify for a cash discount.

The general sales tax group for the invoice, transferred from the current customer.

The general item sales tax group for the invoice, transferred from the form ( > > ).

The tax exempt number for extracting statistics.

Enter the document date for the transaction. If the transaction has been posted, you can only view the date.

When you enter a customer or vendor invoice, the actual date of the invoice is usually used as the posting date. Both the due date and the cash discount date are calculated from this date.

Sometimes, you might need to calculate the due date and cash discount date based on a date that is different from the posting date.

The customer requisition number.

The customer's reference.

The list code to be used with the EU sales list.

The terms of delivery for the current free text invoice, such as FOB (free on board) or CIF (cost, insurance, freight).

Terms of delivery specify delivery terms related to the change of ownership and costs of delivery. The terms of delivery must exist in the form.

Specify the country/region for the delivery.

Specify the state for the delivery.

Specify the region for the delivery.

In the United States, this is the county.


If this check box is selected, you must specify the dimension account for electronic invoicing for each invoice line in the lower pane of the form.

If this check box is cleared, you must specify the dimension account for the invoice header.

This field is available only if information is entered in the field for the customer account that is associated with the invoice.


The dimension account for the free text invoice header. It is used for electronic invoicing.

The name or company name of the invoice address.

Enter the street name of the address.

The ZIP/postal Code of the invoice address.

The city for ZIP/postal Code.

Specify the region for the delivery.

Note Note

In the United States, this is the county.


Specify the state for the delivery.

Specify the country/region for the customer.

The address where the invoice is to be sent.

Select or type the payment code generated using the form.

The method of payment is automatically copied from the customer setup in the form.

To change the method of payment for the current order, click the drop-down list for more options.

Select or type the payment specification code generated using the form ( > > > > ).

The identification of customer's bank account.

The payment schedule to use when invoicing.

Select or type the cash discount code generated using the form ( > > > ).

The percentage of the transaction that is the cash discount of the transaction.

(BEL) This field is available only if the configuration key for Belgium is selected.


Select which transfer slip to print on the giro money transfer slip for the free text invoice.

Specify a department.

Enter a short description of the item. The amount of text that appears on the invoice printout is determined by the way you set up the invoice. You cannot edit the text after an invoice has been updated.

Enter a revenue account before sales can be posted in General ledger.

Define the offset transaction account of a customer credit for the total invoice amount in the form.

The sales tax group for the current invoice line, transferred from the current customer.

The item sales tax group for the current invoice line, transferred from the or forms.

The invoice line amount, excluding sales tax, in the invoice currency.

Text printed on the invoice.

Select a fixed asset number that this transaction is associated with.

The value model related to the current transaction.

The dimension account for the free text invoice line. It is used for electronic invoicing.

This field is available only if information is entered in the field for the customer account that is associated with the invoice.


Select the reason for the transaction.

The list includes all reason codes with an account type of or or, if a fixed asset is entered for the line, all reason codes with an account type of , , or . For more information, see Reasons (form).

Enter a reason description (optional).

If you select a reason code before you enter a reason comment, the default comment that is set up for the reason code is displayed. You still can change the comment.

Specification of weight.

Specify the country/region of origin for the delivery.

Specify the state of origin for the delivery.

The item's code for Intrastat reporting. For more information, see the form.

Specify the means of transport for the current order for Intrastat reporting.

Identification of the current transaction code, used for Intrastat reporting.

The port at which the current order is to be loaded (for Intrastat use).
