Use this form to create an action plan instead of creating each individual action manually in the form. An action plan is a collection of actions to be executed by one or more employees in order to achieve a common objective, such as a marketing campaign or maintenance of production equipment. Before starting the plan, you can manipulate the distribution of actions to employees.

After the plan is started, the actions are created automatically in the form and you can no longer make changes to the action plan or redistribute the actions.

About action plan status

The plan's status is allocated automatically when you update the plan, but can also be changed manually. Action plans can have the following statuses:

Status

Description

The plan has been created but not started, so the actions are listed only in the plan. Employees cannot see them and consequently cannot respond to them.

The plan has been started. Actions with the status Startedhave been created. Employees can now both see and respond to them. You cannot edit the plan or redistribute the items in the plan.

The plan has ended. All actions in the plan must have the status Endedbefore you can end an action plan.

The plan has been canceled.

Note Note

The section contains a list of employees that are attached to the plan and the number of references for each employee. If you are satisfied with the distribution, then start the plan. If not, you can edit the plan, redistribute, and then start the plan.

Enter an identification code for the action plan.

Enter a description of the action plan.

Select the date on which the plan will become active. You can end actions in the plan only after this date.

Select the date on which you want to end the plan.

Choose between creating actions with a particular action type or from a template:

  • – The number of actions created will match the number of action types on the template. Note that the setup of the action type template determines which values the action will be assigned in the , , and fields.

  • – You can create actions that are associated with that action type.

Select either an action type or an action type template, depending on your selection in the field.

Select the table from which the actions are created and, therefore, the employees or actions that will be affected.

Select the employee who is responsible for the action plan.

View the current status of the action plan. To change the status of the plan, click .

View the priority level for the action.

Attach a contact person to the action or send one or more questionnaires to the contact persons when the plan is started.

Note Note

If you select this check box and then update the plan, the tab appears. You can then select the questionnaires that you want the contact person to complete.


Send an e-mail message to the contact person or to the person in charge, notifying them of questionnaires to be completed.

Select the people who should receive an e-mail message when the action plan is started.

View the number of actions to be distributed in the action plan.

Enter additional details related to the action plan. You can use this text in an e-mail message to the employee or contact person who is responsible for the action.

To send an e-mail message, select the check box.

View identification for the employee responsible for the line in the current action plan.

View the number of actions distributed to the employee. This number is assigned automatically when you complete this procedure:

  1. Set up the reference query and the employee query.

  2. Retrieve the distribution data.

  3. Click Distribute.
