Use this form to set up parameters for Accounts payable. You can:

  • Select among various kinds of functionality.

  • Enter default information that will be used if the information has not been specified at a lower level.

  • Select number sequences for Accounts payable.

The following tables provide descriptions for the controls in this form.

Specify the credit limit type that most of your vendors use.

Specify various parameters about settlement, including whether settlements made in product versions earlier than Microsoft Dynamics AX 2.5 (formerly known as Axapta) can be accessed in closed transaction editing.

Specify how the total discount is calculated (if various discounts apply) and whether miscellaneous charges are added automatically to purchase orders or lines.

Select the purchase cycles that are used in the company.

Select the default purchase invoice register for inbound electronic purchase invoice documents.

Description

Specify how purchase order lines are automatically updated when modifications are made on the purchase order header.

Set up summary update parameters for purchase orders, receipts lists, packing slips, and invoices. You can use this form to group multiple purchase documents according to relevant criteria, such as vendor account, and you can simultaneously update them.

If you selected the check box, open the form, in which you can specify one or more ledger account categories to add to the filter.

Only the ledger accounts that are associated with one of the categories selected here will be available to users in the field on the purchase requisition line.

Note Note

You can select only active ledger account categories. Ledger account categories that are added to the filter but later become inactive are designated with a warning symbol.


Create or update number sequence groups.

Specify the default information to receive from vendors when they reply to requests for quotes. The fields that you select in the form are printed on the request for quote reply sheet that users send to vendors.

Specify how request for quote lines are automatically updated when modifications are made on the request for quote header and the request for quote reply header.

Select the order type to be proposed when you create an order in the form.

Select the standard return action to be proposed when you enter return item quantities in a purchase order line.

Enter the purchase pool to be added automatically to a purchase order when it is created it in the form.

If you do not want to use the default purchase order pool, you can change it on the vendor or on a specific purchase order.

You can create purchase order pools in the form.

Select this check box to display a message when you create or modify a purchase order that vendor information from the form will be copied to the purchase order. If you do not select this check box, the information will be copied and no message will be displayed.

Select this check box if you want purchase orders to be marked as voided when a purchase order is deleted. If this check box is cleared, the purchase order is deleted.

Specify that you want Microsoft Dynamics AX to recommend a value for the field when you post a document.

The recommended values for purchase orders are as follows:

If you previous posted the purchase order documents using values other than the recommended values, and you have selected this check box, you will receive a message that recommends changing the current value to the recommended value.

Select a vendor account that is used as a template for one-time vendors.

For more information, see One-time vendor account.

Select this check box to print prices and amounts on purchase orders.

Select the type of tax exempt number requirement that is appropriate for the company. In certain countries/regions, a tax exempt number must be specified for vendors.

Select this check box to require that a tax group be defined for each new or modified vendor account.

Select to use the Belgian validation of payment ID.

Note Note

(BEL) This field is available only if the configuration key for Belgium is selected.


Select this check box to allow under-deliveries to be accepted as a final delivery.

For more information, see Accept under-delivery.

Select this check box to receive more items through the packing slip update than the quantity that you ordered in the purchase line.

Specify whether to allow changes to a fully invoiced purchase order.

For more information, see Safety level of invoiced orders.

Select this check box to allow the Italian remittance file and report to be printed from the payment journal.

Select this check box to post the stock value of physical stock transactions to the ledger when you update a packing slip. If you select this check box:

  • Set up the packing slip account and the packing slip offset account on the tab of the form.

  • Select the check box in the form.

Select how duplicate packing slip numbers per vendor should be handled.

Select this check box to delete purchase order lines that are fully invoiced.

Note Note

If you selected the check box on the tab and you select this check box, fully invoiced purchase lines are not deleted, but are marked as voided.


Select this check box to delete the purchase order header when all the purchase order lines are deleted. For the deletion to occur, the check box must also be selected.

Note Note

If the check box is selected on the tab, the purchase order header is not deleted, but is marked as voided. For the header to be marked as voided, the check box must also be selected.


Select this check box if you want the vendor transaction and associated tax to use the document date as specified when you post the invoice.

Select the standard settlement type to use when you create a credit note in the form.

For more information, see Settlement type for credit notes.

Select this check box to post to a charge account in the ledger.

Select this check box to post a credit note as a correction in the ledger. The ledger transaction is posted on the same side as an invoice, but with a negative sign (reverse entry).

This check box only indicates the default method of posting a credit note. You can change the default when updating a credit note.

Select how duplicate invoice numbers per vendor should be handled.

Select the countries/regions where a tax exempt number is required before invoices can be posted.

Select this check box to use vendor invoice reference number validation.

Note Note

(FIN) This field is available only if the configuration key for Finland is selected.


Select this check box to require that a document date must be specified on a purchase invoice. The document date must not be later than the posting date.

Note Note

(ITA) This field is available only if the configuration key for Italy is selected.


If this check box is selected, the vendor name is taken from the tax exempt table when a sales invoice is printed. You can see the tax exempt information in the form ( > > > > ).

(ESP) This field is available only if the configuration key for Spain is selected.


Select this check box if you will set up price tolerance percentages that are used to identify discrepancies among purchase order line prices, packing slip line quantities, and invoice line prices and quantities. For more information, see Set up Accounts payable invoice matching.

This field is available only if the configuration key is selected.

Select whether to require approval before posting an invoice that contains invoice matching discrepancies, or to display a message and allow posting.

This field is available only if is selected.

Select the condition in which to indicate that there is a price match discrepancy.

For example, if the tolerance is 5 percent and the purchase order unit price is 10.00, a price match icon is shown if the invoice unit price exceeds 10.50. If you select , an icon is also shown if the invoice unit price is less than 9.50.

This field is available only if is selected.

Select a default value for summary updates when multiple sales orders should be posted simultaneously.

Select the type of error message to be displayed when, during a summary update of the type, orders do not match the criteria set in the field in the posting form.

Select this check box to produce one purchase order per order line delivery address when posting.

Clear this check box to use the header address in the form as the delivery address when posting.

Select this check box to require that the vendor account number must match the organization number.

Select this check box to specify that the organization number that is entered for vendor accounts will be validated to ensure that it is correct.

Select this check box to require that an organization number be defined for vendor accounts.

Enter or select the short name of the default vendor posting profile. A posting profile must be specified for every update of a vendor transaction.

The default posting profile is created in the form.

Select whether the primary receipt posting is attached to the item or to the vendor.

For more information, see Primary receipt posting.

Select whether the primary discount posting is found on the item or on the vendor when line discounts are posted.

For more information, see Primary discount posting.

The posting profile for promissory notes.

The posting profile for remitting promissory notes.

The posting profile for invoice remit.

Select this check box to receive a warning when a payment proposal returns more than one method of payment on the same journal line.

Select this check box to deduct sales tax from payments with prepayments.

Select a posting profile to indicate the summary account to which paid prepayments and the sales tax of prepayments are posted. The sales tax is calculated only if the check box is selected. If this field is not completed, the posting profile from the vendor will be used.

Enter payment terms that correspond to the standard period between a purchase order delivery and purchase order invoicing.

For more information, see Period between delivery and invoicing.

Select the value that represents the interval between the transaction date of future purchases (budget lines and open purchase orders) and the expected invoicing date from vendors. For example, if vendors usually send invoices three days after delivery, select payment terms such as Net+3 days.

Select payment terms that indicate the standard time interval from the invoice date to the date the invoice payment is due.

Select payment terms that indicate a standard date interval between the due date and the date of payment.

For more information, see Settle period.

Select the default liquidity account to use for vendor payments in cash flow forecasts. This account is used unless you selected a specific settle account in the field for the posting profile for future transactions in the form.

Tip Tip

Enter the liquidity account (bank account) that you usually use to make payments to vendors. If you calculate currency requirements, enter this account as a liquidity account in the form.


Select the allocation key to use to reduce the impact of the budget in the cash flow forecast, according to purchase orders.

Select whether sales tax is to be posted upon invoice registration or upon invoice approval.

Select this check box to use the Spanish Intra-Community VAT feature.

Select the type of credit limit check that is performed when a purchase order is updated.

Select this check box to automatically settle open invoices when updating a payment or credit note.

For more information, see Automatic settlement.

Specify whether an obtainable cash discount is regarded as a payment on account/lacking payment when an invoice is settled and a cash discount is not deducted correctly.

Specify the maximum penny difference between a payment and the total of an optional number of invoices when settling your purchase invoices. If the penny difference is equal to or less than the penny difference specified in this field, the penny difference is posted automatically to the penny difference ledger account number specified in the form.

Enter the amount accepted for overpayment or underpayment.

Select this check box to allow settlements made in product versions earlier than Microsoft Dynamics AX 2.5 (formerly known Axapta) to be referred to in closed transaction editing.

Select this check box to allow additional date options for the payment proposal.

(ITA) This field is available only if the configuration key for Italy is selected.


Select the method to determine how the total discount is calculated if a line discount and a multiline discount are both effective for a certain purchase order line.

For more information, see Discount field in Accounts payable parameters.

Select this check box to automatically allocate main miscellaneous charges when you create a purchase order.

If you have not defined automatic miscellaneous charges, clear this check box to increase performance.

For more information, see Find main misc. charges.

Select this check box to automatically allocate line miscellaneous charges set up for the ordered item when you create a purchase order line.

If you have not defined automatic miscellaneous charges, clear this check box to increase performance.

Select this check box to automatically calculate the total discount when purchase orders are posted.

Note Note

Any total discount information that has been manually entered will be overwritten.


If this check box is selected, only the purchase cycle actions that are selected on this tab are used. The selections can be changed for individual vendors in the form ( > Common Forms> > > ).

The default days offset for the expiry date. The number of days entered in this field is added to the system date and results in the default expiry date for the requests for quotes.

Select this check box to use working days from the company calendar instead of all calendar days when calculating the expiry date for requests for quotes.

Select a default mode of delivery for requests for quotes.

Select default delivery terms for requests for quotes.

Select default terms of payment for requests for quotes.

Select a default trade agreement journal for request for quote trade agreements.

Select which items to make available for selection when users are entering purchase requisitions.

  • – Users can select from a catalog that contains only items that are relevant for purchase requisitions.

  • – Users can select from all items.

  • – Users can select only items that have not been blocked for purchase.

If you selected in the field, select the product catalog to use for purchase requisitions.

The items in the selected product catalog will be available for selection in the form.

Select the category catalog that includes the non-catalog items that are available for selection when users are entering purchase requisitions.

Non-catalog items are not included in product catalogs because they are used immediately and not stocked, such as office supplies (unless your company sells office supplies).

The items in the selected category catalog will be available for selection in the form.

Select this check box to lock the multiples (the default quantity of items in the purchase package) that have been defined for items when users are entering purchase requisitions.

  • If this check box is selected, users can enter a quantity other than the default quantity, but a message displays and the value is rounded up to the nearest default multiple.

  • If this check box is cleared, users can enter a quantity other than the default quantity, but a message is displayed and users can round the quantity up to conform to the default value.

Select this check box to lock the minimum quantity that can be ordered for an item when creating purchase requisitions.

  • If this check box is selected, users cannot overwrite the minimum quantity that has been defined for the item. The quantity is automatically reset to the required minimum quantity.

  • If this check box is cleared, users can overwrite the minimum quantity, but a message is displayed to inform users if the specified quantity is less than the required minimum quantity.

Select this check box to lock the maximum quantity that can be ordered for an item when creating purchase requisitions.

  • If this check box is selected, users cannot overwrite the maximum quantity that has been defined for the item. The quantity is automatically reset to the maximum quantity.

  • If this check box is cleared, users can overwrite the maximum quantity, but a message is displayed if the specified quantity is greater than the maximum quantity allowed.

Select this check box to require users to enter a business justification on the purchase requisition header.

Select this check box to require that the unit price must be specified on the purchase requisition line.

Select this check box to require that the vendor information must be specified on the purchase requisition line.

Specify how to automatically create purchase orders from purchase requisitions:

  • – All purchase orders are created manually.

  • – All purchase orders are created automatically.

  • – Only purchase orders with a type of are created automatically.

Select this check box to allow users to filter purchase requisitions by ledger account, and then click the button to add one or more ledger account categories to the filter.

Only the ledger accounts that are associated with one of the categories that you select in the form will be available for users in the field on the purchase requisition line.

View a reference key for which a number sequence can be selected.

Select a number sequence associated with the reference.

You can define number sequence codes in the form.

Select the sales tax book section that stores the transactions of the reference key.

Select this check box if you want the selected reference to follow the number sequence specified for another reference.
